Event Planning:
As Planners of Events we handle the following tasks related to all Events:
- Budget planning
- Creating event design, event flow and event floor plan
- Recommendation and selection of venue
- Suggestion for vendors to provide for food, décor, drinks, entertainment etc
- Planning transportation to and from the event
- Selecting and Sending invitation card to invitees
- Travel and hotel reservations
- Car rental
- Coordinating the activities of event personnel
- Supervising at the site
- Conducting evaluations of the event
- Providing seating arrangement and table reservation
- Providing client with detailed check list…and much more
Coordination of the event:
After we have made the initial plans, we give attention to each of the activities that form a part of the overall event. At this point, our goal is to ensure that everyone is on the same wavelength. Making sure all vendors have at least a general idea of the overall event schedule. Even more important, vendors would be given a clear understanding as to what is expected of them, and when. Arrival of vendors at the event location would have been stated in each vendor’s contract.
During both planning and coordination stage, there is a need to “check and recheck” every detail. We ensure all persons involved in providing services on that day know their roles.
The most important test of an event’s success is customers’ satisfaction. Our goal is to end up with clients who will sing our praises and guests who will be impressed. Thus every event is very special and important to us.
HOSTESSES:
With respect to hostesses or ushers for events, the number of hostesses depends on the request of a client. We however do guide our clients as to the minimum number that would best ensure an orderly event. The number of hostess needed and assignment to tables plays an important role.
The hostesses main role is to ensure guest satisfaction on a more personal level. Thus, they are assigned to sections and ensure each table they are assigned to be well taken care of. This includes ensuring seating arrangements, meals are brought to tables promptly, making sure there is flow of food and drinks to the assigned table.
Event Décor:
With regards to the decoration for the reception hall, it varies as to design, style and concept. Upon further consultation with clients this would be determined and a proper quotation would be provided based on the design and style of décor chosen.
